CAREER OPPORTUNITY

POSITION TITLE:         Membership Clerk

CLASSIFICATION:        Permanent Part time (after successful completion of probationary period)

TERM:                         up to 6 hours per 2 week pay period

POSITON SUMMARY

Maintain up-to-date membership records and assist individuals in the membership application process.

REPORTING

This position reports to the Director of Operations

DUTIES AND RESPONSIBILITIES

• Maintain the First Nation Register and Band List

• Note any inconsistencies in the First Nation’s Register and advise ISC of any required changes

• Refer individuals to various organizations or references to conduct research for registration

• Assist individuals who are applying for registration for Indian Status or to become a Band member (e.g. assist individuals with transfers to and from other bands as requested)

• Provide information to applicants on the application of relevant legislation and ISC’s policies and procedures related to application for status

• Obtain and examine supporting documents (e.g. birth certificate, marriage certificate) to determine their acceptability for registration

• Network with other First Nation Clerks, as required

• Receive and review applications and assist for Indian Status

• Forward appropriate documentation to assist applications to ISC

• Communicate to individuals of the decisions made by the Registrar concerning their Indian Status

• Maintain an effective filing system that includes the necessary reporting of Certificates of Indian Status on a regular basis along with an event reporting system for all transactions.

• Submit Registry and Band files for auditing as requested

• Develop and maintain effective working relationships with Band Registry Clerks of other Bands

• Liaise with Provincial and Federal Departments/Agencies to facilitate the provision of services to First Nation clients

• Other duties as assigned

POSITION QUALIFICATIONS

  • High School diploma, GED or equivalent
  • Willingness and ability to certify as Membership Registry Administrator and continually update qualifications
  • Experience working in an administrative setting
  • Reliable and dependable
  • Strong verbal and written skills and ability to relate well with members, coworkers and general public
  • Sound judgement, tact, diplomacy and decision-making skills
  • Ability to maintain confidentiality
  • Must be able to pass police records check
